Voicemail

The Internet Gate can record voice messages left by callers to a USB memory stick attached to the unit.

The recorded messages can then either be e-mailed to the called user, or she can listen to them using web browser or telephone.

Voice mail requires purchase of license to be activated.

Creating

Insert a USB memory stick into the unit. Open the usb web server status page to check it has correct FAT32 format.

Configure the SMTP mail sender on the E-mail page.

Create the internal voice mail unit by clicking on the Create button on the voicemail page. Restart the unit.

On the SIP Switch Overview page set Voice Mail to other than “Off” for users there voice mail shall answer if they do not.

Now the voice mail unit is configured and ready to be used using its default settings. You must however configure the recording and delivery options for each user who will use the voice mail, see below. You are also strongly recommended to record your own welcome message and announcements, see below.

Configuring

Announcements

:!: There are default announcements used for the voicemail unit, but you are strongly recommended to record your own ones.

Default announcements of the Internet Gate are fetched online each time they are used. Thus if your unit becomes offline from the Internet they cannot be used.

There are two levels of announcements: global and user. Users can record their own announcements; if they have not done so the global one will be used instead.

Global announcements are recorded using the voicemail page. Enter your SIP address (or extension) into the “Client to call” field on the page and click the Record button next to the announcement you want to change. Internet Gate calls your phone and you can pick it up, talk in your announcement, and hang up the phone. Then use the Play link to listen to it.

If no users are using any of the Message options of Voicemail on the SIP Switch Overview page you do not need to record any of the “Audio prompts when listening to your voice messages” as they will never be used.

Recorded announcements are saved on the attached USB memory stick in 8kHz mono u-law wav file format. If you can create such files you may create them in some other way and save them using correct filename and path on the USB memory stick, but make sure to test them using a phone to check playability - just because your web browser can play the audio file it doesn't mean Internet Gate's voicemail unit can do it to.

Local announcement for each user (eg “Hi you have reached Rachel's voicemail, please leave a message after the beep”) can be recorded by the users on their Personal Settings page.

Recording and Delivery options

It is the Voice Mail option of each user on the SIP Switch Overview page that controls how voice mails are recorded and delivered:

Referral only If the user doesn't answer to a call then the local referral announcement as specified on the voicemail page will be played. By deafult it is a recording stating “please ring again later”. The caller cannot leave any message. (If all users use only this voice mail option then no USB memory stick nor SMTP server is needed.)
Message to fetch The user can either use a web browser or a telephone to listen to recorded messages.
Via E-mail If the user doesn't answer to a call then the local recording announcement as specified on the voicemail page will be played. By deafult it is a recording stating “please leave your message after the beep”, then the caller can leave a message. The message then will be e-mailed to the user's e-mail address as specified on her Personal Settings page.
Message & E-mail A combination of both “Message to fetch” and “Via E-mail” above. The recorded message is e-mailed to the user, but she can also use web browser or telephone to listen to them.

If you select “Via E-mail” the recorded message will be deleted from the USB memory stick as soon as the e-mail has been sent. The “Message” options leave it on the USB memory stick until deleted by the user.

If more than 20 messages has been recorded voice mail inbox is full and no more messages can be recorded until user deletes some old ones. Further unanswered calls will be treated as “Referral only” above, playing the referral announcement without the ability to record a message. The message limit 20 can be edited on the voicemail page.

E-mail

The voicemail e-mail will be created using the template on the voicemail page, there you can specify sender e-mail address, message subject and body. The recorded message will be attached to the e-mail as a wav-file. If you do not specify a template a default message will be used.

For each user receiving voice mails you need to specify her e-mail address. Users can enter the e-mail address themselves on their Personal Settings page. The system administrator can enter the addresses by clicking on Edit for each user on the SIP Switch Overview page that opens the same Personal Settings page for that user.

Users

Users can configure their voicemail using their Personal Settings page. There they can:

  • record their own recording and referral announcements
  • enter their e-mail address voice mail should be sent to
  • enter their voice mailbox ID number and pincode
  • listen to messages recorded (if Voice mail setting is in Message fetch mode)

If Voicemail: Via E-mail is selected they will receive recorded messages using e-mail.
If Voicemail: Message to fetch is selected they can listen to recorded messages on their Personal Settings page, or dial in to the voice mail server.

Troubleshooting

The voice mail feature saves its templates, voice announcements and recordings in the /voicemail folder on the attached USB memory stick. If you experience problems with blank e-mails, silent announcements, or fields missing from the voice mail configuration web pages, make sure there is a /voicemail root folder present on the attached USB memory stick.

:!: Do not remove or replace the USB memory stick! As all recordings are on the stick obviously removing it makes all recordings be lost until the same memory stick is reinserted again.
